How we collect, use and protect the information you share with us.
Effective November 2, 2026
1. Who we are
FieldSignal.ai (“FieldSignal”, “we”, “us”) is an AI enablement studio based in Toronto, Ontario, Canada. This policy explains how we handle personal information collected through fieldsignal.ai, including our contact form, our AI readiness check and our mailing list.
Our products and client engagements, such as OpsEngine, Voice DNA and project work, are covered by their own terms and agreements. Where those terms differ from this policy, they apply to that product or engagement.
2. What we collect
When you contact us
- Your first and last name, work email and company
- Your company website and the solution you’re interested in, if you provide them
- Your message
- The page you sent the form from and the page that referred you
- Whether you ticked the box to receive our insights and updates
When you take the AI readiness check
Your answers are scored in your browser. Nothing is sent to us until you ask for your scorecard. When you do, we receive:
- Your work email, and your first name and company if you provide them
- Your industry, and your role, company size and top priority if you provide them
- Your answers to the twelve questions and the readiness tier they produce
- Whether you ticked the box to receive our insights and updates
Collected automatically
- Our hosting provider keeps standard server logs, such as IP address, browser type and the pages requested, to run and secure the site.
- We use your IP address briefly to limit repeated form submissions and block spam. We don’t store it with your form details.
- Our emails may record whether they were opened and which links were clicked, so we know what’s useful.
Analytics
We use Google Analytics to understand how people find and use our site: which pages are visited and for how long, the website or search that referred you, your device and browser type, and your approximate location (country and city), which Google estimates from your IP address. It also tells us when someone finishes the readiness check or sends a form, without your answers or contact details.
Google Analytics uses cookies and similar technologies to recognize repeat visits. You can block or delete cookies in your browser settings, or install Google’s Google Analytics opt-out browser add-on. We don’t use advertising pixels on this site, and our fonts are hosted on our own servers.
3. How we use it
- To reply to your message and follow up about what you asked for
- To email you your readiness scorecard and follow up about your results
- To send you insights and updates, only if you ticked the box to receive them
- To measure how the site is used and improve its content and design
- To understand, in aggregate, what organizations need help with, so we can improve our services
- To keep the site secure, prevent spam and meet our legal obligations
We don’t sell or rent your personal information. Your readiness tier is calculated from your answers by a fixed set of rules. It’s for your information only and isn’t used to make decisions about you.
4. Your consent and our emails
When you send a form, you consent to us using your information as described in this policy to respond to you. That includes following up by email about your inquiry or your scorecard.
We only add you to our insights and updates list if you tick the box. It’s never ticked for you. Every marketing email includes an unsubscribe link, and you can also ask us to remove you at any time. We keep a record of your opt-out so we don’t email you again by mistake.
6. How long we keep it
- Inquiries and readiness results are kept for up to two years after our last interaction, unless you become a client. Client records are then kept for as long as the relationship and our legal obligations require.
- Mailing list details are kept until you unsubscribe or ask us to remove you.
- Analytics data is kept in Google Analytics for no longer than 14 months, then deleted automatically.
- Server logs are kept for a short period by our hosting provider.
When information is no longer needed, we delete it or make it anonymous.
7. How we protect it
We limit access to the people who need it, use encrypted connections across the site, and keep the keys for our tools on the server, never in your browser. Our providers maintain their own security programs. No method of transmission or storage is perfectly secure, but we take reasonable steps to protect your information and will tell you if a breach creates a real risk of significant harm.
8. Your choices and rights
You can ask us to:
- Tell you what personal information we hold about you and how we’ve used it
- Correct information that’s inaccurate or incomplete
- Delete your information, where we’re not required to keep it
- Stop sending you emails, or withdraw your consent to other uses
Email info@fieldsignal.ai and we’ll respond within 30 days. We may need to confirm your identity first. If you’re not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada, or the privacy regulator where you live.
9. Children
This site is for businesses and professionals. It isn’t directed at children, and we don’t knowingly collect personal information from anyone under 16.
10. Changes to this policy
We may update this policy as our services change. When we do, we’ll change the date at the top of this page. If a change is significant, we’ll make it clear on the site or tell you by email.
